Your Daily Reality

Questions You Ask Every Day

You know these thoughts. We built the platform to answer every one of them — instantly, without chasing anyone.

🛡️
Did my student actually think about the risks before flying solo today?
Every FRAT is timestamped and logged. You see the score, the weather they reported, how they felt, and whether they applied any mitigations — before wheels up.
📋
If the FSDO walks in tomorrow, can I pull our SMS records in 5 minutes?
Your document library, training records, FRAT history, safety reports, and audit logs are all in one place. Exportable, organized, audit-ready any day.
👤
Who on my staff is overdue for SMS recurrent training right now?
The training tracker shows every staff member's completion status — green, amber, or overdue — with expiry dates. No spreadsheets, no guessing.
🔧
Which of my aircraft have open squawks that a student might not know about?
Aircraft status is visible on your management dashboard. Any open item flagged in a FRAT is automatically surfaced to you for review and sign-off.
⚠️
A student just filed a safety report — where does it go, and who sees it?
Directly to your dashboard, flagged by priority. Anonymous reports protect the reporter. You review it, update the status, and publish a safety bulletin — all from the same screen.
📊
How do I show the FAA we have a culture of safety — not just paperwork?
Every FRAT submission, safety report, mitigation decision, and training completion is a data point in your SMS. It tells the story of a school that takes safety seriously — with evidence.

Real World Scenario
Tuesday Morning at WIFA
Here's how I'm Safe SMS works in a normal day at a Part 141 flight school — without anyone picking up the phone.
☀️
7:45 AM
John Smith logs into the WIFA portal before his 8 AM dual lesson. He taps through the FRAT — aircraft airworthy, VFR at origin and destination, feeling sharp, slept 7 hours. Score: 6. Good to Go. Auto-approved. Takes 45 seconds.
imsafesms.com/WIFA · Staff Portal
⚠️
9:15 AM
Maria Taylor submits a FRAT for her solo XC. She reports MVFR at destination and hasn't flown in 12 days. Score: 24. Marginal. She selects mitigations — obtained full weather briefing, briefed with CFI. Score drops to 18. Still routes to your review queue.
imsafesms.com/WIFA · Staff Portal
📱
9:18 AM
You see Maria's FRAT in your dashboard. You review the full submission — her score, the weather she reported, the mitigations she selected. You approve it with one click and add a note: "Check in with Maria on MVFR minimums before departure."

📋
11:30 AM
An anonymous safety report comes in. "Taxiway Charlie signage is faded and hard to read at night — potential confusion risk." Priority: Medium. You update the status to Under Review and assign it to maintenance. You publish a safety bulletin to all staff: watch taxiway Charlie at night until signage is replaced.

3:00 PM
FSDO inspector calls — routine check on your SMS program. You open the document library, pull your SMS manual, the FRAT records from the last 90 days, training certificates for all staff, and the safety report log. You email it all in 4 minutes. Inspector: "This is exactly what we like to see."

How It Works

The Safety Loop — Closed Every Time

Every incident reported in your school completes a full documented cycle — from the moment it's filed to the moment your team reviews it in your next meeting.

STEP 01
Incident or Hazard Report
Any staff member or student files a confidential report from the portal — hazard, near-miss, or unsafe condition. Anonymous option built in. Lands on your dashboard immediately, flagged by priority.
Anonymous option §5.71(a)(7) High/Med/Low priority
STEP 02
Safety Officer Review
You see the full report on your management dashboard. Review the details, set it to Under Review, and assign it for investigation. High-priority reports are highlighted in red so nothing gets missed.
Open → Under Review §5.71 Safety Assurance
STEP 03
Corrective Action
Root cause addressed — maintenance fix, revised procedure, or new checklist. You close the report with the corrective action documented. A permanent, FAA-auditable record is created automatically.
Under Review → Closed §5.73 · §5.75 Full audit trail
STEP 04
Safety Promotion
If the issue could affect others, you publish a safety bulletin from your dashboard — it appears on every staff member's portal home screen. If systemic, the SMS policy or manual gets updated and uploaded to the document library.
Bulletin to all staff Policy update optional §5.91 · §5.93
STEP 05
Weekly / Monthly Meeting
Your team reviews the full cycle — every report filed, every corrective action taken, FRAT score trends, and training gaps. What was reported, what was done, and whether the fix worked. Your §5.73 safety performance review, fully documented.
All records in one place FRAT trend analysis §5.73 Safety Review
Continuous Loop
Every meeting feeds the next cycle — the system gets smarter and safer with every report filed.
Voluntary Safety Program

Two Ways to Run ASAP

The Aviation Safety Action Program gives your staff a safe way to report honest mistakes. You choose how far you want to take it — fully internal or with official FAA enrollment. We strongly recommend FAA enrollment, but the decision is always yours.

Our recommendation: Go FAA-enrolled. The MOU and enforcement protection are what make ASAP transformative — pilots report more freely when they know the FAA can't come after their certificate. We handle all of the MOU drafting and FSDO coordination. But if your school isn't ready for that step yet, Internal ASAP still builds the safety culture you need.
OPTION 1
Internal ASAP
Run entirely inside your school. No FAA involvement, no MOU required. Your staff reports honest mistakes through the portal, the ERC reviews and determines corrective action. No formal enforcement protection — but all the safety culture benefits.
No MOU or FAA registration needed
ERC: Chief + Staff Rep + I'm Safe SMS
Portal reporting — same system as FRAT
Builds honest safety culture immediately
No FAA enforcement protection for pilots
RECOMMENDED
OPTION 2
FAA-Enrolled ASAP
The full program — MOU signed with the FAA, official enforcement protection for every accepted report. Your pilots can report honest mistakes knowing the FAA cannot take certificate action. We handle every step of the setup.
MOU signed with the FAA
ERC: Chief + Staff Rep + FAA Inspector
Full enforcement protection for pilots
Official FAA program recognition
FSDO coordination handled by us
What ASAP Covers
✓ ACCEPTED REPORTS
Inadvertent altitude or airspace deviations
Procedural errors and honest mistakes
Maintenance errors reported by mechanics
Near-miss events and safety concerns
Any event where corrective action is the right response
✗ NOT ACCEPTED
Intentional noncompliance
Reckless conduct
Criminal activity
Substance abuse or alcohol
Intentional falsification

As a Chief Flight Instructor, I'm responsible for every flight that leaves this school. I'm Safe SMS gives me the documentation and visibility I need to know that every pilot — student or CFI — made a conscious, informed decision before they flew. That's not just good safety practice. That's my liability protection.
